Scheduling

• Rooms may be scheduled on a recurring basis (weekly, monthly, etc.) for up to three months at a time
• Previously scheduled meetings may be canceled if a library program conflict arises

During Your Meeting

• Room capacity is set by the Augusta County Fire Department and may not be exceeded
• All participants must clear the room no later than five minutes before library closing
• Participants in before- or after-hours meetings are not permitted in other areas of the library
• Due to the nature of the library as a public facility, privacy cannot be guaranteed

Fees & After-Hours Use

• Room use during regular library hours is free
• Meetings that begin or end outside of regular hours require a staff member on the premises at a cost of $25.00 per hour (or any part of an hour), paid in advance
• The Churchville, Weyers Cave, and Stuarts Draft meeting rooms may be used after hours at no cost with prior arrangements made with the Branch or Station Manager

Furniture & Facilities

• Extra tables and chairs are available at Fishersville, Churchville, Weyers Cave, and Stuarts Draft — staff is not available to assist with moving furniture
• Limited kitchen facilities are available at Fishersville, Churchville, and Weyers Cave; refreshments and meals may be served

Publicity

• Any promotional materials for events held at Augusta County Library locations must be approved by the Library Director and must clearly state that Augusta County and Augusta County Library are not sponsors of or endorsers of the event

Cleanup & Liability

• Groups are responsible for cleaning all areas used and returning furniture to its original arrangement
• No items may be left behind or stored at the library
• Augusta County Library is not responsible for damages to persons or property while using library facilities
• Groups that do not meet these conditions may have future room requests denied and may incur cleanup or damage charges
